How Do I Run a Trip?

Trip:
Where are you going?
What will the conditions be like?
What are the minimum vehicle requirements?
Are there abundant fuel stops or food on the trip?
Is there a Fire Warning or Weather Warning in place?

Determine a meeting point and time and an expected return time.
Advertise your trip at the meeting or here on the forum and get a list of participants.
You should make sure that the conditions you expect on your trip will be suitable for the people and vehicles who have expressed
an interest in coming.
You have some obligation to ensure your group has an understanding of what to expect so that they can make a call as the whether they want to potentially put their vehicle in harm’s way or if their vehicle is reliable enough to be out in the bush.

As trip leader you can exclude people from your trip if you feel they do not meet minimum vehicle standards for the sake of safety and for the sake of the enjoyment of the rest of the group.

The Paperwork:
Is everyone on the trip a paid member, either full member or temporary?
Are they the dependent or spouse of someone who is a paid member?
Do you need to print/carry any forms with you on the day?

You need to ensure everyone on your trip is a fully paid member or a temporary paid member, or that they are either a dependent or spouse of someone who is a paid member.
You will need a trip participant form on the day to list everyone who is on your trip and you may need temporary member forms.
Temporary members can pay you in cash on the day or they can pay it into the club bank account found here viewtopic.php?f=5&t=1539 but the funds must be cleared before the day of the trip to comply with our insurance obligations.

We also recommend people have a personal details form which lists next of kin and medical information in case of emergency although this is NOT the responsibility of a trip leader to organize this and is not specifically compulsory.

Remember that running a trip is something we do voluntarily for our club members enjoyment but also our own.
If you have any questions about running a trip there are plenty of members who can offer advise and it may also be a good idea to invite one of the more experienced members along on the day.

It is a good idea to have a range of experience and knowledge among your group in case things get hectic but also to share their knowledge of driving, recovery and vehicles with the rest of the group.
